Your exhibit budget will be dependent on several considerations. One is the scope of your efforts. Think about the size and number of exhibits that you are planning to join per year. Although exhibit strategies may vary for each exhibitor, budgeting remains relatively the same across all.
Get in touch with exhibit or conference coordinators in advance to determine the rental fees involved. Your space requirement will depend on the size of your display, which in effect translates to a corresponding booth space rental. Also be ready for utilities and other booth related expenses. This may include the assembling and disassembling of the booth, electricity, water and other requirements that you will need for your booth.
Take note of what you will need for the exhibit display. This is basically everything from display design, display production, other graphics, posters, banners, booth fixtures and even the furniture. Then you should consider the shipping costs, which have two components, the freight and the drayage. Freight costs would be charges from shipping your event materials to and from the event, back to your office or your warehouse.
Drayage are charges to and from the exhibit space from the loading dock of the exhibit site. These should all be accounted for in your exhibit budget. You may also want to input the crating and storage costs for the said items just so you have a better picture of the total costs.
Make a forecast for the transportation, accommodation and meals for you and your staff. You may also need to include entertainment expenses you may incur should you happen to bring clients out for dinner or a show to help build relationship and close a sale.
Remember that you participation in an exhibit or tradeshow may be a highly effective tool to market your products or services but it can also be very costly if not planned and executed well. This is why it is vital to manage expenses appropriately and maximize your stay at the exhibit.
