Are you about to organize an event but are lost in the many components you think you have to attend to?  Here are a few useful tips on how to pan your event or conference.
    
First establish a theme for the entire event.  This is basically setting the groundwork that will drive the event set-up, the target participants, the visitors and the marketing approach that will be used.  Generally, an international conference for a particular industry will of course appeal to exhibitors and attendees who conduct business within that same industry.

Lock in a venue for your conference.  This will depend a lot on the scale of the event.  Take into consideration the number of attendees, the presence of VIPs and if there are other spaces required for certain exhibit activities.

Plan out your marketing and publicity activities and campaigns for the event.  If you have a hefty budget tucked away, consider above the line advertising to promote your event.  Utilize media to float out press releases about the conference to create additional awareness.  If you have limited budget however, turn to online media to market your event.  You can create a viral video for more awareness and bank on your network to spread the news.  You may also want to do a pre-registration that gives small perks to registrants to encourage them to visit your online site.

Remember to get reputable sponsors for your conference to boost the credibility of your event and at the same time cut back on your costs.  Sponsors can significantly help with the marketing and awareness campaign of your event by announcing it to their own customers.

Prepare your pool of resource speakers.  Invite reputable speakers who are of caliber and are known in the industry that they move in so that they could provide the attendees with significant information that they can use in their business, industry or work.  Also be ready with a good team of people to handle special tasks such as registration, ushering, customer information and service as well as a group to handle the financial of the event.  Make sure their responsibilities are clear and well defined to eliminate any cause of confusion or error during the event itself.
