Many event planners decide that the best way for them to market their event is to use direct marketing to reach their intended audience.  In many cases, the event planner is marketing the event to individuals and companies that they have already had a business relationship with so they have all of the relevant information about their audience readily at hand.  In some cases, the event planner is targeting a certain industry in a certain area and would like to use direct marketing for all of the targeted businesses in the area.  Direct marketing can be very effective in either of these cases and is often the least expensive way to inform the target audience of the event.

Direct Marketing Methods

Effective direct marketing can be a complex process when a large audience is being targeted for an event, simply because of all of the different ways that can be used for connecting with the proper audience.  One of the most used methods of direct marketing is mailing brochures to the addresses of the target audience.  This typically involves using a software program to create a database of the relevant addresses that are being targeted for the event, creating an informational brochure containing all of the pertinent information about the event, and then mailing the brochures to each address.  It is very important to have all of the information available and to mail out the brochures on a timely basis so that the targeted audience has enough time to review the information and provide a response before the event occurs.

Another direct marketing method that can be used is employing a call center to contact the targeted audience and tell them about the event that is being held.  Many event planners like using the call center approach because many people prefer to talk to an actual person and in many cases, the person making the call can sign up participants for the event on the spot.  A script will have to be made to be given to the individuals at the call center so that they will have all of the appropriate information about the event at hand while making the calls and all registrations will be returned either on a weekly basis or when the marketing campaign is finished.

Tracking The Information

Event planners that choose to use direct marketing for informing their target audience about their events often purchase an event marketing software program to help them track the effectiveness of their marketing campaign so that they will know which methods are working for them and which methods will need to be revamped or revised.  These software programs have the ability to track the costs of each method of contact and provide a percentage of the returns you are achieving with each method that is being used.  Information about the registrants can be entered into the software program and the process of getting them the information that they will need for the event can be streamlined to occur at the proper times.

Direct marketing is considered to be one of the best methods for marketing an event when effectiveness and cost is factored into the equation.  Because of the many different methods of direct marketing available and the ability to adjust any direct marketing campaign to be unique to the event quickly and easily, many event planners are deciding that direct marketing is the most appropriate way of marketing their events.
